TL;DR
Choosing the right Incoterm is critical for managing costs and risks. If you are a smaller brand or buying LCL (Less than Container Load) batches, DDP is usually best as the supplier handles all shipping, customs, and taxes. If you are a large distributor buying FCL (Full Container Load), FOB is often the most cost-effective choice, as you can leverage your own freight forwarder and customs capabilities.
When sourcing perfume bottles from China, the product price is only half the story. The other half is how the goods get from our factory floor to your warehouse. This is where Incoterms (International Commercial Terms) come into play.
As an experienced packaging supplier, we frequently see buyers lose money simply because they chose the wrong shipping terms. Let’s break down the four most common Incoterms we use—EXW, FOB, CIF, and DDP—and determine which one matches your business model.

1. EXW (Ex Works): The "Do It Yourself" Option
What it means: The seller makes the goods available at their factory. The buyer is responsible for picking up the goods, handling export customs, and arranging all transportation.
Who it's for: Large corporations with an established freight forwarder in China. For small brands, EXW is often a nightmare because dealing with local Chinese logistics and export paperwork is extremely difficult.
2. FOB (Free On Board): The Choice for Big Buyers
What it means: The seller delivers the goods onto the vessel nominated by the buyer at the specified port of shipment. The risk transfers to the buyer once the goods are on board. The buyer pays for the main ocean freight and destination charges.
Who it's for: Large distributors and factories ordering full containers (FCL). If you have a trusted freight forwarder who can get you cheaper ocean rates and you have strong customs clearance capabilities, FOB is your best choice. It gives you maximum control over the shipping costs and timeline.
3. CIF (Cost, Insurance, and Freight): The Middle Ground
What it means: The seller pays the costs and freight to bring the goods to the destination port, and provides insurance. However, the risk transfers to the buyer once the goods are on the vessel.
Who it's for: Buyers who want the supplier to arrange the main shipping but still want to handle their own customs clearance and import duties.
⚠️ Warning on CIF: Always check with your freight forwarder about "destination port charges." Sometimes, cheap CIF rates come with massive hidden unloading fees at the destination port.
4. DDP (Delivered Duty Paid): The "Door-to-Door" VIP Service

What it means: The seller bears all the costs and risks involved in bringing the goods to the buyer’s destination (usually their warehouse), including export clearance, import clearance, and paying all duties and taxes.
Who it's for: Small to medium-sized fragrance brands, independent startups, and buyers ordering LCL (Less than Container Load) shipments. You don't need to know anything about customs or international freight. You just pay one invoice, and the goods arrive at your door.
Real-World Example: We recently shipped 1,000 sets of 50ml glass perfume bottles to a French client. Because they were a smaller brand without a dedicated import team, we arranged DDP sea freight for them. We handled the Chinese export customs, the ocean freight, and the French import duties. They simply waited for the delivery truck.
How to Match the Incoterm to Your Business

Stop choosing terms based on what others use; choose based on your supply chain maturity.
- Startups & Small Brands (1-10 cartons): Choose DDP. Pay a bit more per unit to buy absolute peace of mind. The cost of a customs mistake or port delay will far exceed the freight difference.
- Established Independent Brands (LCL batches): Usually DDP, unless you already have a reliable forwarder.
- Large Wholesalers & Factories (FCL containers): Choose FOB. Use your own forwarder to save on freight, and clear customs yourself.
